Information for swimmers & families regarding swim meets

How will I know which swim meets to enter?

Your coach will decide which meets you will attend based on the type of meet, the qualifying times (if any) and your experience level.  Your coach will notify you of upcoming swim meets.  Upcoming meet annoucements can also be found on this website, or downloaded from Gippsland Swimming website www.gippslandswimming.org.au or the Swimming Victoria website www.swimmingvictoria.org.au

What is a Swim Program?

The program contains all the information you and your family need to know about the meet including the location, events offered, the maximum number of events you may enter per day, the entry fees, entry deadlines, start times, warm-up times and any special information or instructions regarding how the meet is run.  Make it a practice to run through the program before you enter a meet.  You are responsible for understanding and being aware of all the information contained in the program when you enter. 

What events should I enter?

Your coach will tell you which events he/she would like you to compete in.  If you have questions or concerns about what events you are swimming, check with your coach.

What is an entry time?

Your entry time for an event should be your fastest time for that event.  In the case of online entries, your fastest time for that event from the national database (at 5pm on the date entries close) will be used. 

How do I register for a swim meet?

There are a number of ways to lodge an entry this season.  Through the club (bulk entry mainly used for GSI swim meets), paper entry direct to the host club and online.

Swimming Victoria (SV) Registration Number

All members paid a membership fee to Swimming Victoria and will have received a membership card.  This membership means you are a registered member of Swimming Victoria and as such are covered by insurance in case of an accident/injury.

A registration number is necessary when entering an official Swimming Victoria (SV) competition or a competition requiring you to enter on an official SV entry form (ie. GSI Swim Meets)

Your registration Number is made up of the following three components:

- First 3 letters of your surname

- First 2 letters of your first name

- Date of Birth

For example, if your name is John Smith and you date of birth is 18 May 1995 then your registration number would be  SMIJO180595  (notice the use of a zero when the date is a single digit)

Online Entries

Many competitions you will enter this season will use the ‘on-line entry’ method, meaning you must enter via a secure website and pay via credit card. 

1. Go to the Swimming Victoria website www.swimmingvictoria.org.au

2. Click onto “Events/Calendar” The drop down menu lists upcoming swim meets and will indicate if “online entry” is available.  Click on “online entry’

3. Click “Login” and enter your Username & Password. This was provided to each member in a letter at the beginning of the season however, please contact Club Registrar Sheryl Atkinson if you have forgotten.

4. Once logged in the information regarding the meet will appear for you to review.  Click on “Register” where you will be required to accept the terms and conditions of entry, then you will be able to update your personal details if you wish.

5. Click on “Enter Event” to select the first event you wish to nominate for.  PLEASE NOTE: You can only select one event at a time.  Once the event has been selected click :next:.  If an error message stating that “a valid qualifying time was not found for the event” selected, and you know you do have a qualifying time for that even please contact swimonline@swimming.org.au

6. On the next screen select the “submit” button.  The screen provides the option to enter another event by clicking “enter event”.  Continue to add the second, third, etc events you wish to swim in (as you did the first).

7. You will not see your entry times when entering - nor do you have to add them manually.  Your best times will automatically be downloaded from the Swimming Australia Results Database at 5.00pm on the day entries close.

8. Once you have entered all your events click on “entry and online payment” to enter your credit card details.  There is NO additional fee for paying online with your credit card.

9. Once you have paid a receipt will be emailed to you.  If you do not receive an email confirmation (very unlikely) please check the “confirmed entrants” listing on the home page of the entry form to ensure the swimmer has been entered into the nominated events - or contact swimonline@swimming.org.au for confirmation.

Gippsland Swimming Inc (GSI) Entries

Entries must be submitted on the GSI Entry form which is available on this website under "Forms".

Entries should be submitted to the Club Entries Officer Peta Howlett or placed in the Entries Box located at the pool notice board by the closing date listed.  This date is earlier than that listed on the program in order to give Peta time to process all the club entries and submit to the host club via electronic format.

ENTRY FEE - Entries for each GSI Meet (except Gippies) is $10.00 which covers all events entered on the day. Please DO NOT include money with your entry.  The entry fee should be paid on arrival at the swim meet - clubs will have a registration table set up for this purpose.

Scratchings

Should a swimmer wish to scratch from an event on the day of competition they must notify a team manager as soon as possible (preferably prior to the session commencing).

A scratching form must be signed by a Warragul Team manager.  The form is then returned to the meet secretary who will officially scratch the competitor.

Entries Officer

All entries for GSI meets are coordinated through the club Entries Officer.  Entries should be made on the GSI Entry Form and placed in the Entry Box at the pool.  These will be collected by the Entries Officer on a regular basis. You will be notified if entries for any of the Target Swim Meets should be given to the Entries Officer.
